About the Role

The Admissions Coordinator serves as the first point of contact for prospective clients, families, referral sources, and healthcare professionals seeking treatment services.

This role is responsible for conducting screenings, coordinating admissions, verifying insurance benefits, communicating with referral sources, and ensuring a seamless transition into treatment. The Admissions Coordinator plays a critical role in helping individuals access care while providing exceptional customer service and support throughout the admissions process.

Essential Duties & Responsibilities

Admissions & Client Engagement

Conduct telephone and virtual screenings to determine appropriateness for admission.

Respond promptly to inquiries from prospective clients, families, referral sources, and healthcare professionals.

Guide clients and families through the admissions process and prepare them for treatment.

Coordinate admission logistics and ensure a welcoming, supportive experience.

Educate clients and families regarding treatment services, program expectations, and admission requirements.

Assist clients in making informed decisions regarding treatment options.

Insurance Verification & Financial Coordination

Verify insurance eligibility and benefits.

Identify financial guarantors and assist with payment arrangements when appropriate.

Communicate insurance and financial information clearly and professionally.

Coordinate with internal teams regarding authorizations and admissions approvals.

Care Coordination & Referral Management

Maintain communication with referral sources and document all interactions.

Coordinate with Business Development, Clinical, Nursing, and Medical teams to facilitate timely admissions.

Provide referrals and resources for individuals who do not meet admission criteria.

Assist with transportation coordination and admission logistics as needed.

Coordinate retrieval of outside medical records and supporting documentation.

Documentation & Data Management

Enter admissions, referral, and assessment information into electronic systems.

Maintain accurate and timely documentation of admissions activities.

Track admissions data and key performance indicators.

Ensure compliance with state, federal, payer, and accreditation requirements.

Professional Representation

Serve as a positive representative of Indiana Treatment Centers and Ascension Recovery Services.

Build and maintain professional relationships with referral sources and community partners.

Participate in admissions, census, and operational meetings as assigned.

Perform additional duties and special projects as assigned.

Schedule Expectations

Regular schedule is Tuesday through Saturday, 9:00 AM – 5:30 PM EST.

Must be available to respond to admissions inquiries during scheduled work hours.

Occasional flexibility may be required to support admissions needs, census goals, and client intake activity.

Participation in an on-call rotation may be required as the program grows.

Minimum Qualifications

High School Diploma or GED required.

Minimum of two (2) years of experience in admissions, healthcare, behavioral health, case management, customer service, or a related field.

Strong communication, customer service, and organizational skills.

Ability to effectively communicate with individuals and families experiencing crisis or emotional distress.

Proficiency with electronic medical records, CRM systems, and Microsoft Office applications.

Ability to work independently in a remote environment.

Preferred Qualifications

Bachelor's degree in Social Work, Psychology, Healthcare Administration, Business, or a related field.

Two (2) or more years of experience in behavioral health, substance use disorder treatment, or healthcare admissions.

Knowledge of substance use disorders, mental health conditions, levels of care, and the recovery process.

Experience verifying insurance benefits and obtaining authorizations.

Peer Recovery Specialist Certification preferred.

Experience working in a fast-paced admissions or intake environment.
