About the Role
We are seeking a highly organized, patient-focused, and proactive Bilingual Dental Admin & Receptionist Virtual Assistant to support a busy U.S.-based dental practice with front-desk operations, patient communication, scheduling, insurance coordination, and administrative workflows. This role is ideal for someone who thrives in fast-paced healthcare environments, enjoys helping patients, and can confidently manage multiple administrative responsibilities while delivering an exceptional patient experience remotely. The ideal candidate is professional, detail-oriented, highly organized, and comfortable communicating with patients in both English and Spanish.

You will play a critical role in ensuring smooth day-to-day operations while supporting both patients and the internal dental team.

Key Responsibilities

Patient Communication & Front Desk Support
Handle inbound and outbound patient calls in both English and Spanish

Respond to emails, texts, and patient inquiries professionally and promptly

Provide friendly, empathetic, and patient-centered customer service

Conduct appointment reminders and treatment follow-ups

Help improve patient engagement and treatment acceptance

Appointment Scheduling & Coordination
Schedule, confirm, reschedule, and manage patient appointments efficiently

Coordinate calendars and optimize scheduling workflows

Ensure patient information and appointment details remain accurate and updated

Maintain smooth communication between patients and the dental team

Insurance Verification & Billing Support
Verify insurance eligibility, benefits, and coverage prior to appointments

Assist with billing coordination and payment posting

Support claims follow-up and insurance documentation processes

Help patients understand coverage and payment-related information

Administrative & Operational Support
Manage patient intake and demographic updates

Maintain accurate digital records and documentation

Support data entry, reporting, and administrative workflows

Ensure all records remain organized and HIPAA compliant

Assist with additional operational tasks to support office efficiency

Requirements
Fluent in both English and Spanish (spoken and written) — REQUIRED

English proficiency level: C1 or higher required

Clear and professional communication skills with a neutral accent preferred

Minimum 1–2 years of experience in:
U.S. dental administration

U.S. healthcare administration

Dental front desk support

Medical scheduling or insurance coordination

Strong understanding of:
Dental workflows

Insurance verification

Appointment scheduling

Patient communication

Experience using dental PMS platforms such as:
Dentrix

Eaglesoft

Open Dental

Similar systems

Strong multitasking and organizational abilities

High attention to detail and professionalism

Comfortable working independently in a remote environment

Strong sense of accountability, confidentiality, and HIPAA compliance
