Role Overview
The BCBA provides clinical supervision, caregiver training, and approved indirect and administrative services to assigned clients.
Client Caseload
Minimum: 1 active client

Maximum: Up to 20 active clients

Caseload assignments are determined by availability, experience, and operational needs.

Service Hour Categories & Definitions
All BCBA time must be classified as Direct, Indirect (Clinical), or Administrative (Non-Clinical). Accurate classification, documentation, and approval are required.
Decision Rule (Applies to All Hours)
If the activity impacts treatment or clinical decision-making → Indirect.
If the activity is coordination, communication, or availability → Administrative.
1. Direct Services (Billable – Client-Facing)
Direct services involve real-time interaction with the client or caregiver and must occur during scheduled sessions.
Includes:
BT/RBT supervision sessions

Parent / caregiver training sessions

2. Indirect Services (Billable – Clinical)
Indirect services are clinical in nature and directly support treatment outcomes and decision-making.
Includes:
Treatment planning and program modification

Assessments and reassessments

Data analysis and interpretation

Clinical case reviews

Weekly report review and clinical input

Clinical team meetings focused on treatment decisions and client progress

Excludes:
Scheduling or logistics

General coordination

Operational meetings

Routine messaging or availability

3. Administrative Services (Non-Clinical)
Administrative services are non-clinical activities required for coordination, communication, and availability, but not for clinical decision-making.
Includes:
Weekly office hours (1 hour per week) dedicated to:

Slack availability

Answering team questions

General coordination support

Emails related to scheduling, logistics, or operations

Meetings with Operations, PMs, or PSs not focused on clinical review

Meetings with PMs or PSs outside scheduled sessions when the purpose is administrative

Limits & Rules:
Administrative hours are capped at 4 hours per month per BCBA

Administrative time is not client-based

Administrative hours require prior approval

Unapproved administrative hours will not be paid

Service Allocation Requirements (Per Client – Monthly Allocation)
Contract BCBAs are assigned a standard monthly allocation of hours per client, designed to support clinical quality and payer compliance.

Scheduling, Adjustments & Approval Process
The Operations Team is responsible for building and maintaining BCBA schedules based on the standard hour allocation per client.

If a client requires additional hours beyond the standard allocation, the request process is as follows:

The Program Director reviews the clinical need

A formal request is submitted to Operations

Operations reviews and approves prior to service delivery

When required by the payer, the Program Director may need to complete an addendum or clinical justification report to request authorization for additional hours from the insurance provider.

Services delivered outside of the approved allocation or without authorization may not be reimbursed or paid.

Compensation Structure
Entry-level BCBA: $72,000–$78,000/year

Rates are determined by experience, certifications, and scope of responsibility.
*Indirect Services and Administrative Services are billed at differing rates.
Documentation, Compliance & Oversight
Weekly availability must be submitted to Operations

Direct services must align with scheduled appointments

Indirect and administrative work may be completed flexibly but must meet monthly deadlines

All documentation must include:
Date of service

Time of service

Client (if applicable)

Service category (Direct / Indirect / Administrative)
