CEO Office Assistant
Role Context
We're looking for a highly organised, professional, and proactive individual with a can-do attitude who can quickly add value to the smooth and effective running of the CEO Office.
Based in the UK, this is a fully remote job with a global scope. You'll coordinate and manage the daily tasks, travel, personal and business matters within the CEO Office, and help run a smooth and effective office that is the beating heart of our organization.
Key Responsibilities
Support the CEO’s EA in managing the complex and ever-changing calendar, both business and personal, ensuring it is accurate, prioritised, and up to date at all times
Communicate schedule changes promptly and reorganise in a timely fashion ensuring all parties are notified
Coordinate meetings, travel, events, and logistics across multiple time zones and stakeholder groups
Act as the CEO Office project manager, ensuring follow-through on all tasks and projects across internal and external stakeholders
Track actions, deliverables, and milestones to ensure timely execution and accountability
Support the CEO Office in managing priorities, deadlines, and competing demands in a fast-paced environment
Prepare high-quality presentations, reports, briefing papers, and executive communications
Handle confidential and sensitive matters with a high degree of professionalism, judgement, and discretion
Anticipate issues, identify operational improvements, and proactively solve problems before they escalate
Build and maintain strong relationships with key stakeholders, partners, and senior leaders

Key Qualities and Capabilities
Exceptional organisational and coordination skills with strong attention to detail
Highly proactive with the ability to anticipate needs and stay several steps ahead
Strong project management capability with the ability to manage multiple priorities simultaneously
Demonstrated discretion, sound judgement, and the ability to handle highly confidential information
Excellent written and verbal communication skills
Calm, adaptable, and solutions-focused under pressure
Tech-savvy with strong proficiency across productivity and collaboration platforms
Flexible and responsive, with a strong sense of ownership and accountability
Ideal Experience
Previous experience supporting a CEO, Founder, or C-suite executive in a high-performing environment essential
Experience managing complex executive diaries, travel, and stakeholder coordination
Background in project management, operations, strategy, or executive support
Proven ability to coordinate cross-functional initiatives and manage competing priorities
Experience preparing executive-level communications, presentations, and reporting materials
