Position Summary
The CMMS Project Planner is responsible for providing focused oversight and management of maintenance work orders across our property portfolio through the Maximo CMMS platform. This position ensures operational excellence, maintains service standard compliance, and addresses the increasing volume of maintenance activities. The successful candidate will collaborate closely with site teams, operational staff, and the CMMS Administrator to optimize work order processes, eliminate backlogs, and ensure timely completion of all maintenance activities while maintaining system accuracy and data integrity.
Key Responsibilities
Work Order Management & Analytics
Monitor and track open work orders on daily and weekly basis across the entire property portfolio
Provide strong analytical oversight both qualitative and quantitative of work order data and trends
Review upcoming work order due dates and proactively flag potential overdue items to operational teams
Coordinate with site teams to develop strategies for addressing backlogged and overdue work orders
Generate regular work order status reports and performance analytics for management review
CMMS Platform Management
Serve as subject matter expert (SME) for Maximo CMMS reporting and analysis
Ensure completeness and accuracy of all work order data entered the system
Maintain system accuracy and data integrity through continuous monitoring and updates
Provide ongoing operational and technical support for CMMS operations across defined locations
Support MSA/SLA/KPI requirements through effective work order management
Process Improvement & Communication
Identify and address bottleneck processes, including preventive maintenance load balancing
Streamline communications between site teams, contractors, and management regarding work order status
Participate in implementation of innovative programs and procedures that reduce operating costs and increase productivity
Provide consistent high level of support to field operations to ensure seamless service delivery
Assist with communication to customers and management team regarding maintenance activities
Compliance & Training Support
Ensure compliance with portfolio-wide KPI’s & initiatives required per local, state and federal regulations
Support and provide ongoing CMMS system user training to ensure effective utilization by field operations
Support change management and permission to work processes related to maintenance activities
Maintain various data sources and dashboards for operational oversight
Reporting & Documentation
Prepare formal client-ready documents including reports and presentations as needed
Collaborate with Performance Managers to provide reporting based on client needs
Evaluate and analyze various forms of data to ensure accurate forecasting of milestone information
Analyze key performance data to determine trends and generate comprehensive reports
Required Qualifications
Education & Experience
Industrial setting/Facilities Management, Business Administration, or related field preferred
2-4 years of experience in facilities management, maintenance planning, or CMMS administration
Experience with Maximo or similar CMMS platforms strongly preferred
Experience in critical operations environment a plus
Technical Skills
Proficiency in IBM Maximo CMMS software
Strong analytical abilities with experience in data warehouse management and performance data mining
Advanced Microsoft Office Suite skills (Excel, Word, PowerPoint, SharePoint)
Basic understanding of preventive maintenance principles

Excellent verbal and written communication skills with ability to convey complex technical information clearly
Strong relationship-building and collaboration skills
Detail-oriented with focus on accuracy and compliance
Ability to work independently and manage multiple priorities simultaneously
Problem-solving mindset with process improvement orientation
Preferred Qualifications
Professional certifications in facilities management or maintenance planning
Experience in commercial real estate or property management industry
Experience with change control and permission to work processes
Working Conditions
Office/remote-based position with occasional site visits as needed
Standard business hours with flexibility for urgent maintenance coordination
May require weekend or after-hours availability for critical work testing or order management
Ability to work in home office location as approved by management
Performance Metrics
Success in this role will be measured by:
Reduction in overdue work orders and backlog accumulation
Improvement in work order completion timeliness and compliance
Enhanced client satisfaction scores related to maintenance services
Compliance with service level agreements and regulatory standards
Quality and accuracy of CMMS data and reporting
Effective utilization of system capabilities to meet client expectations
Special Projects as assigned
Performs other job duties as requested

Estimated compensation for this position:
45,300.00 – 58,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
