CSJ HR Assistant
- Be between 15-30 years of age (inclusive)

- Assist with drafting and posting job advertisements and coordinating the recruitment process
- Schedule interviews and communicate with candidates in a professional and timely manner
- Support onboarding activities, including preparing offer letters, contracts, and welcome materials
- Help facilitate new hire orientation and ensure all required documentation is completed
- Maintain and update employee records, HR systems, and personnel files accurately
- Assist with payroll administration by ensuring employee information is up to date and liaising with the finance team
- Respond to general HR-related queries and escalate more complex issues as appropriate
- Support the coordination of training sessions, staff events, and engagement initiatives
- Assist in tracking employee training and development activities
- Provide administrative support for performance review processes
- Ensure HR documentation and filing systems are organized and compliant with company policies
- Support the HR team with audits and compliance-related tasks
- Assist in preparing basic HR reports and documentation
- Contribute to HR projects and continuous improvement initiatives as needed
- Provide general administrative support to the HR team
Job Requirement:
- Legally authorized to work in Canada
- Be between 15-30 years of age
- Be a Canadian citizen, Permanent Resident, or a person on whom refugee protection has been conferred under the Immigration and Refugee Act.
- Be legally entitled to work according to the relevant provincial legislation and regulations
- Intermediate proficiency using Google Suit (Sheets, Docx, GMail); able to prepare documents, spreadsheets, and presentations efficiently.
- Managing multiple deadlines in an academic or work setting
- Handle sensitive and confidential information responsibly
- Ability to maintain accurate employee records, manage files, and organize schedules
- Demonstrates a strong commitment to equity and inclusion, with the ability to integrate these principles into HR practices, policies, and workplace communications.
- 1+ years of hands-on involvement in posting job openings, screening candidates, scheduling interviews, and supporting new hire onboarding processes
- 1+ years of experience maintaining employee records, assisting with HR policies, ensuring compliance with labor laws, and supporting payroll or benefits administration.
- Ability to assist in generating reports on HR metrics such as turnover, attendance, or recruitment analytics to inform decision-making
- Strong organizational, analytical, and problem-solving skills.
- Responding to employee inquiries, assisting with workplace issues, and fostering a positive and inclusive work environment..
- High degree of personal integrity.
- Previous internship, co-op, volunteers or part-time experience in HR tasks considered an asset
- Familiar experience with HR software/ HRIS considered an asset
- Salary: $24.50/ hour
- Benefits: Vacation in pay (8%), paid days for wellness days & sick days and personal days will be pro-rated based on days worked/contract dates, health benefits reimbursement (prorated) and daily lunch stipend.
- Contract Type: Fixed Term Contract, fixed hours (35 hours per week)

- Location: Remote, may require some in-person meetings or events
- Personal Leave Days: 10 paid personal leave days per year

- FoodShare’s recruitment process involves the anonymization of all resumes prior to their being screened by the hiring committee. - The hiring committee will review anonymized versions of the applications that pass the initial screening and decide which to invite to interview. This process usually takes about 1 week.
- The hiring committee will conduct first round interviews with selected candidates. When we interview job candidates, we acknowledge that this is work and we compensate at the rate of $75.00 per interview. Additional details will be provided by the HR Coordinator.
- Candidates will be sent the interview questions 48 hours in advance of their scheduled interview. Candidates are welcome, but not expected or required, to send any questions they have for the hiring committee in advance of the interview. These usually occur about 4 weeks after the application deadline.
- Interviews will be conducted on and considered paid working time.
- HR will conduct reference checks for the candidate they intend to extend an offer to. This process usually takes about 1 week.
- HR will send the selected candidate an Employment Agreement, which the candidate will have at least 1 week to review and return.
