What You’ll Do

  • Transaction Coordination – Manage transaction workflows end-to-end, utilizing transaction management software to keep deals on track and ensure all documents are in order.

    Podcast Coordination – Source and qualify guests, manage outreach, and schedule recordings with accuracy and timeliness.

    Email Campaigns – Draft and deliver 3 recurring campaigns on schedule, maintaining clean lists and consistent reporting.

    Marketing Support – Coordinate one blog topic per month with the team, create graphics/newsletters in Canva, and ensure execution of posting schedules.

    Property Management Support – Handle tenant communications, oversee lease renewals, and coordinate repair contractors (can be taught).

    Acquisitions Support – Follow up with potential real estate acquisition leads, document progress, and escalate qualified opportunities.

    Team Meeting Support – Attend weekly meetings as secretary, produce accurate notes, assign action items, and drive completion.

    Systems & CRM (GoHighLevel) – Manage user accounts, monitor inbound lead assignments, and maintain workflow accuracy.

    Executive Support – Control calendars, tasks, and communications, ensuring leadership is focused on high-value work.

    What We’re Looking For

    • Fluent in English (written and spoken) Spanish is as bonus

      2+ years as an Executive Assistant, Marketing Coordinator, or VA, ideally with transaction coordination experience.

      Demonstrated ability to learn and excel with new technology.

      Proficient in Canva, G-Suite, and at least one project/task management tool (such as trello or clickup).

      Familiar with GoHighLevel and able to create/manage workflows.

      Strong attention to detail and an independent problem-solver.

      Strong written/verbal communicator with a bias for action and results.

      Preferred Qualifications (Ranked)

      1. Experience as a transaction coordinator for a real estate team.

        Experience with being an executive assistant

        Experience with property management tasks (tenant communications, lease renewals, contractor coordination).

        Podcast coordination or production support experience.
