Job Overview

We're seeking a highly skilled and experienced Customer Service Representative to join our Service Department team. As a key member of our team, you'll be responsible for delivering exceptional customer service, supporting our customers throughout the service and repair process, and ensuring that every interaction is handled with professionalism, empathy, and a customer-centric approach. Key Responsibilities

  • Answer all incoming service calls in a prompt and friendly manner, displaying a positive tone of voice and empathy throughout the entire customer interaction.
  • Assist Customer Advisors/Service Consultants with customers when needed, providing support and guidance to ensure seamless service experiences.
  • Answer basic service department questions, schedule service appointments, and route customers' calls to the appropriate team members.
  • Provide written messages to the responsible party in a timely manner, ensuring that all communication is clear, concise, and effective.
  • Complete reminder calls for customers scheduled for an appointment, ensuring that they're informed and prepared for their visit.
  • Assist the service department in contacting customers once special ordered parts have arrived, scheduling appointments and ensuring that the repair process is completed efficiently.
  • Contact customers with Repair Requests to schedule appointments, providing personalized support and guidance throughout the process.
  • File repair orders and all supporting documentation daily, maintaining accurate and up-to-date records.
  • Audit all sublet invoices to ensure they're processed and resolved per arenaflex guidelines, maintaining high standards of quality and compliance.
  • Ensure the loaner log and dealer tags are always in compliance with audit requirements, demonstrating attention to detail and a commitment to excellence.

Essential Qualifications

To be successful in this role, you'll need to demonstrate exceptional interpersonal, communication, and customer service skills, with the ability to work effectively in a high-energy, fast-paced environment. You'll need to be accountable to the Associate 1 Competency Model, executing Retail Service Standardized Work and Voice of Customer (VoC) processes with precision and dedication. Intermediate computer skills, including spreadsheet knowledge, are also essential, as well as the ability to read, interpret, and transcribe data to maintain proper records.

Preferred Qualifications

While not essential, preferred qualifications include experience working in a customer-facing role, with a strong understanding of customer service principles and practices. You'll need to be able to demonstrate above-average communication skills, with the ability to speak and listen effectively when dealing with customers and associates, both in person and over the phone.
