This is a remote position.

Role Overview

We are looking for a highly skilled freelance contractor with hands-on experience in Zoho applications, Xero accounting software, and business process automation. The selected contractor will work on client projects involving system integrations, workflow automation, data synchronization, testing, documentation, and user training.

This is a project-based engagement with the potential for additional projects based on performance, availability, and business requirements.

Key Responsibilities

1. System Review & Requirement Analysis

Review existing Zoho and Xero environments.

Understand client workflows related to sales, inventory, billing, vendors, and accounting processes.

Analyze integration requirements and data flow between systems.

Identify field mappings and automation opportunities.

Collaborate with accounting, operations, and client teams to gather requirements.

Deliverables

The contractor may be responsible for delivering:

Requirements gathering documentation

Workflow analysis reports

Integration mapping plans

Configuration documentation

Functional integrations

Testing and validation reports

Issue resolution logs

SOPs and user guides

Training completion documentation

2. Integration Design & Configuration

Configure Zoho applications and Xero integration settings.

Set up account mappings, tax settings, contacts, invoices, inventory synchronization, and related configurations.

Ensure alignment with client business and accounting processes.

3. Zoho & Xero Integration Development

Implement integrations using native Zoho integrations, APIs, webhooks, Deluge scripting, or middleware tools.

Configure synchronization of:

Customers and contacts

Sales invoices

Bills and vendor records

Payments

Inventory transactions

Build automation workflows to reduce manual processes.

Configure error handling, validation, and synchronization schedules.

4. Testing & Quality Assurance

Perform end-to-end testing of integrations and workflows.

Validate data accuracy and synchronization results.

Troubleshoot and resolve integration issues.

Support User Acceptance Testing (UAT).

5. Documentation & Training

Create technical and user documentation.

Develop SOPs and workflow guides.

Conduct training sessions for the client and internal teams.

Provide post-implementation knowledge transfer.

Requirements

Required Skills & Qualifications

Proven experience with Zoho One applications, including:

Zoho CRM

Zoho Books

Zoho Inventory

Zoho Flow

Zoho Creator (preferred)

Strong experience with Xero accounting software.

Experience integrating Zoho applications with third-party systems.

Knowledge of REST APIs, webhooks, and middleware platforms.

Experience with Zoho Deluge scripting.

Strong troubleshooting and problem-solving skills.

Ability to document technical processes and workflows.

Excellent communication and client-facing skills.

Ability to work independently and manage project deadlines.

Preferred Qualifications

Zoho certifications.

Experience with accounting software integrations.

Familiarity with QuickBooks, HubSpot, Stripe, Shopify, or other business systems.

Experience supporting U.S.-based businesses.

Working Requirements

Ability to attend virtual meetings during agreed project hours.

Provide regular project updates and status reports.

Respond to emails and project communications within one business day.

Maintain confidentiality of all client and company information.

Follow BFG security, documentation, and project management procedures.
