Job Summary

We are seeking a highly organized, independent contributor to manage the full-cycle bookkeeping for two separate companies: a Behavioral Health practice and a Federal Service Contracting firm. You will be responsible for maintaining clean, audit-ready books for both entities using QuickBooks and Gusto, ensuring that clinical operations and federal Time & Materials (T&M) contracts are managed with 100% accuracy.

Key Responsibilities

Entity 1: Federal Government Contracting (T&M Focus)

IPP Invoicing: Prepare and submit monthly invoices through the Invoice Processing Platform (IPP), ensuring alignment with Contract Line Item Numbers (CLINs).

T&M Tracking: Reconcile labor hours from Gusto to QuickBooks Projects to ensure all billable hours are captured and supported by documentation.

Ceiling Monitoring: Track "Not-to-Exceed" (NTE) balances and provide "burn rate" reports to management to prevent over-spending on federal obligations.

Compliance: Maintain the books in accordance with FAR Part 31 (Cost Principles), specifically flagging and excluding "unallowable" expenses from government billing.

Entity 2: Behavioral Health Practice

Provider Payroll: Execute payroll for clinicians in Gusto, managing a mix of salaried staff and fee-for-service (1099/W-2) providers.

Confidentiality: Ensure all financial record-keeping is handled with a high degree of privacy, adhering to HIPAA standards where patient-related data is concerned.

Expense Management: Oversee accounts payable for clinical supplies, office rent, and professional liability insurance.

Shared Financial Operations (Both Entities)

Full-Cycle Accounting: Maintain the Chart of Accounts, perform monthly bank reconciliations, and close the books by the 10th of each month.

Systems Management: Expertly manage the sync between Gusto (Payroll) and QuickBooks (General Ledger) for both companies.

Audit Readiness: Act as the primary point of contact for year-end tax preparation and any federal/agency-specific audits.

Pay: $26.64 - $32.08 per hour
