Implementation Project Management Coordinator

Summary of Role 
TeamBuilder is seeking an early-career Implementation Project Coordinator to support the execution of client implementations and ensure operational excellence across our PMO. 
In this role, you will work closely with a Project Manager to support the day-to-day execution of implementations. You will own project administration, coordination, and follow-through across multiple client engagements, ensuring nothing falls through the cracks. 
Over time, this role is designed to evolve from project support → partial ownership → full ownership of smaller implementations, with a structured development path into a full Project Manager role. 
Key Responsibilities 
Project Execution & Administration (Primary Focus) 
You will own the operational backbone of implementation projects: 
Maintain and manage project plans in Asana (milestones, tasks, dependencies) 

Prepare meeting agendas, capture notes, and distribute recaps 

Track action items and ensure timely follow-up across stakeholders 

Maintain RAID logs (risks, issues, actions, dependencies) 

Prepare status reports and internal updates 

Ensure documentation is complete, accurate, and up to date 

Client Coordination & Follow-Through 
You will help ensure clients stay on track and engaged: 
Coordinate client-facing follow-ups and next steps 

Track outstanding deliverables and proactively follow up 

Support training logistics and completion tracking 

Maintain client-facing documentation and timelines 

Draft client communications and status updates 

Implementation Support & Readiness  
You will support the PM in keeping projects moving forward: 
Monitor project health, risks, and timelines 

Compile risks and support mitigation planning 

Assist with internal coordination across data, product, and CS teams 

Support end-user rollout readiness and communication 

Growth into Project Ownership 
This role is designed with a clear progression path: 
0–3 months: 
Learn TeamBuilder implementation processes; fully own admin, tracking, and coordination 

3–6 months: 
Begin leading portions of implementations (workstreams, smaller clients, or phases) 

6–12 months: 
Progress to independently owning smaller implementations end-to-end 

12+ months: 
Take on more complex projects with increasing autonomy 

How You’ll Work 
Partner closely with a PM who will provide guidance, mentorship, and oversight 

Enable the PM to focus on strategic implementation leadership, client alignment, and risk management by owning execution detail 

Operate with a high level of accountability in a fast-paced, evolving environment 

Ideal Experience and Background 
Experience 
~1–3 years of experience in:  
SaaS implementation, onboarding, customer success, or project coordination 
Healthcare or healthcare technology strongly preferred 
Core Skills 
Strong organizational and execution skills (high attention to detail) 

Ability to manage multiple priorities and follow through consistently 

Comfortable with ambiguity and evolving processes; can operate with autonomy.

Strong written and verbal communication skills the enable the team/client to be informed throughout the implementation and that expectations and timelines are clearly defined.

Ability to interact professionally and connect personally in a professional environment with external clients 

Mindset 
Highly accountable—does not drop tasks or miss follow-ups 

Proactive—anticipates needs and removes friction 

Coachable and eager to grow into a PM role 

Balances detail-orientation with understanding of broader goals 

Contributes to strong team culture 

Additional Information 
Job Type: Full-time, Exempt, Remote, Travel Required (Must be in US and able to work EST hours).
