Role Summary
The Project Coordinator / Junior Project Manager primarily provides project coordination and PMO support across the portfolio. The role focuses on governance, reporting, purchasing support, system/data hygiene, and documentation control, while also supporting basic project management activities (planning support, tracking, risk/issue logging, and driving follow-ups) for assigned initiatives. This position ensures process compliance in internal systems, drives timely budget and purchasing approvals, maintains accurate project documentation, and communicates consolidated status to stakeholders while partnering cross-functionally with PMs, SCM, Finance, and Vendor Management.
Key Responsibilities
Project Coordination & Delivery Support
· Coordinate assigned projects or workstreams by supporting the Project Manager with schedules, action tracking, and follow-ups to keep work moving.
· Maintain project plans, milestones, and deliverables in coordination with PMs and team leads; ensure updates are captured in the appropriate tools.
· Track RAID (Risks, Assumptions, Issues, Dependencies) and change impacts; maintain logs, capture owners/due dates, and escalate items that need decisions.
· Facilitate project routines (kickoffs, working sessions, status meetings) by preparing agendas, capturing notes/decisions, and driving action items to closure.
· Prepare consolidated status updates and stakeholder communications, ensuring accuracy and alignment with the Project Manager.
Planning, Controls & Reporting
· Manage timesheet reporting and weekly controls; follow up with teams to ensure timely and accurate submissions.
· Produce weekly and bi-weekly portfolio and project reports (e.g., status, backlog, invoicing, cost consumption) and send PM/stakeholder notifications.
· Track schedule, scope, and budget data for assigned projects/workstreams; identify variances, flag risks, and coordinate follow-ups with owners.
· Coordinate project closure support activities and reporting; validate milestone completion, ensure deliverables are filed, and confirm final data accuracy.
Governance, Systems & Documentation
· Maintain system hygiene and ensure timely project updates, including dates, milestones, and required fields across tools.
· Execute governance processes for project setup, milestone creation/updates, documentation control, and system notifications (e.g., InSide).
· Ensure audit and required documentation is uploaded and maintained in the system, including file migration per project as needed.
· Trigger and track purchase requests (PRs) and related approvals per governance requirements; proactively mitigate delays.
· Support additional governance activities such as warehousing/stock migration tasks (as defined) and milestone closure validations.
Purchasing, Finance & Operational Support
· Provide purchasing support during periods of high demand, coordinating with SCM/Procurement to ensure timely processing.
· Perform budget troubleshooting and resolve related issues in partnership with Finance and PMs.
· Support data corrections, system access/issues, and process questions related to project setup, purchasing, and reporting.
· Provide timesheet support to PMs and team members and ensure compliance with reporting timelines.
· Support PMs with file migration, milestone closure, and other administrative activities required to keep projects moving.
Requirements
Required Qualifications
· 3+ years of experience in project coordination, PMO, operations, or administrative support for project teams.
· Proficiency with portfolio/project systems (e.g., InSide) and ERP/procurement tools (e.g., Oracle EBS) with strong data hygiene practices.
· Basic understanding of project management concepts (scope, schedule, cost, RAID, change control) and comfort applying them to tracking and coordination activities.
· Strong proficiency in Excel (pivot tables, lookups) and familiarity with PowerPoint/Word; Power BI is a plus.
· Strong organization, attention to detail, and ability to manage multiple priorities and stakeholders.
· Clear written and verbal communication skills, with the ability to communicate with PMs, Finance, SCM, and Vendor Management.
