Role Summary
We are hiring a full-time Marketing Virtual Assistant to support a boutique marketing consultancy that works with promotional product distributors and suppliers in the US.
We are seeking a Marketing Virtual Assistant who has extensive and current knowledge of the US product supply of promotional merchandise, including familiarity with suppliers, decorators, and industry trends.
This role is positioned to support strategy, content, campaigns, and day-to-day execution for multiple promo clients.
This is not a basic admin VA role — you’ll be directly involved in executing real marketing campaigns across email, social media, websites, and events. You’ll work closely with a small, experienced team and play a key role in bringing marketing strategies to life.

Key Responsibilities
Campaign & Content Execution
Build and schedule email campaigns and simple automations in platforms such as HubSpot and Mailchimp (or similar tools), using provided strategy, copy frameworks, and brand guidelines.
Coordinate integrated campaigns across email, social, web, direct mail, and events to ensure assets, timelines, and deliverables stay on track.
Draft, proof, and lightly edit marketing copy for emails, social posts, basic landing pages, and outreach kits, aligned to each client’s brand voice.
Social Media & Digital Presence
Create and schedule social media content on a consistent cadence, aligned with client campaigns and promotional calendars.
Repurpose existing assets (blogs, campaign themes, case studies, virtual events) into social-ready content.
Track and summarize basic social and email analytics to inform future content and campaign decisions.
Direct Mail, Kits, and Events Support
Assist with the coordination of direct mail campaigns and branded kits, ensuring creative, lists, timelines, and vendors are aligned.
Support virtual and live event promotion through email, landing pages, reminders, and follow-up content.
Website & Landing Page Support
Help build or update simple websites and landing pages so they reflect current campaigns and drive relevant conversions.
Coordinate assets with designers and developers, ensuring content, imagery, and calls-to-action align with strategic direction.
Reputation Management
Monitor reviews, comments, and brand mentions
Respond professionally and escalate sensitive concerns when needed
Internal coordination & project support
Serve as a right hand to the Proven team to keep deliverables, dependencies, and communication flowing smoothly across multiple client projects.
Maintain organized task lists, timelines, and status updates for internal and client-facing initiatives.
General Marketing Support
Provide day-to-day support across marketing initiatives and internal projects
Assist with research, list building, and campaign preparation
Help ensure marketing activities are organized, aligned, and delivered on schedule
Support ad hoc requests as business needs evolve
Standards
Non-Negotiable Requirement
Extensive and current knowledge of the US promotional products industry — including suppliers, decorators, product trends, and how distributors source and sell branded merchandise
You should already be familiar with the landscape and able to support marketing efforts within this niche without requiring foundational training
Required Skills & Experience
Experience in digital marketing execution (email + social media)
Hands-on experience with tools like HubSpot, Mailchimp, or similar email marketing platforms
Strong writing and editing skills (clear, persuasive, and on-brand)
Experience with social media scheduling tools (e.g., Hootsuite, Buffer, Later, or similar)
Basic experience updating websites or landing pages (e.g., WordPress, Webflow, or similar builders)
Highly organized and detail-oriented
Comfortable managing multiple projects at once
Tech Stack Familiarity (Preferred)
CRM & Email Marketing: HubSpot, Mailchimp, Klaviyo, or similar
Social Media Tools: Hootsuite, Buffer, Later, Sprout Social
Website & Landing Pages: WordPress, Webflow, Squarespace, or similar
Project Management: Asana, ClickUp, Trello, or Notion
Design Collaboration: Canva, Figma (basic editing and feedback)
Analytics & Tracking: Google Analytics, native social/email analytics dashboards
