ZigZag is looking for an Operations & Logistics Coordinator to join our team! 
About the Role
This is a full-spectrum operations role. You will own everything that keeps the business running day-to-day — from the moment an order is placed to the moment it's delivered and invoiced. The founder focuses exclusively on product, commercial relationships, and custom order strategy. Everything else is yours to manage, anticipate, and execute without being asked.
This role is not for someone who waits for instruction. It is for someone who sees what needs to be done and does it.
What You'll Own
Order Management
Process all confirmed orders accurately and without delay

Coordinate with the factory on production timelines and flag issues proactively

Track all orders from confirmation through to delivery

Maintain accurate order records at all times

Logistics & Freight
Manage all freight bookings, courier coordination, and delivery scheduling

Liaise with logistics partners to resolve delays, damages, or delivery issues

Ensure all shipping documentation is accurate and complete

Invoicing & Administration
Issue invoices promptly upon order confirmation or agreed milestones

Follow up on outstanding payments systematically

Maintain organised records across all administrative functions

Manage and update SOPs continuously — not as a one-off task

Customer Communications
Handle all inbound customer queries professionally and promptly

Provide accurate order status updates without customer follow-up being required

Escalate only custom order queries and pricing decisions to the founder

Resolve standard complaints and issues independently

Supplier & Vendor Coordination
Maintain relationships with suppliers and service providers

Track purchase orders and confirm delivery timelines

Communicate proactively when issues arise — never after the fact

General Operations
Identify inefficiencies and fix them without being told

Maintain all operational documentation and systems

Support the business through website relaunch and growth phases with whatever is needed operationally

What We're Looking For
Minimum 3 years in an operations, logistics coordination, or similar role

Demonstrated experience managing freight and order fulfilment — not just administrative support

Experience with invoicing and basic financial administration

Exceptional written English — your customer communications represent a premium brand

Proficiency in Google Workspace, project management tools, and comfort learning new systems quickly

Available and responsive during Australian business hours — this is non-negotiable
