I’m looking for a reliable, detail-oriented Operations & Technical Project Assistant to help keep multiple projects moving while I focus on other work from 8am - 6pm pst.

This is a non-coding, coordination-focused role designed to reduce bottlenecks, keep contractors unblocked, and ensure I receive clear, decision-ready action items when I’m available.

You will support:

An Amazon FBA business

Website improvements

A new software/app development project with contractors in different time zones

This is a long-term, part-time role with the opportunity to expand hours and responsibility over time based on performance and project needs.

Core Responsibilities

1. Technical & Project Coordination (Non-Coding)

Monitor communication from developers and contractors

When a contractor is blocked, identify what the blocker is and what is needed to move forward

Ask clarifying questions when technical requests are unclear

Use AI tools and research to help translate technical issues into plain English

Prepare concise summaries that clearly outline:

What is blocked

Why it is blocked

What specific action or decision is needed from me

Review my notes, messages, or voice notes and convert them into:

Structured action items

Task lists

Draft roadmap steps (for my review and approval)

Prepare clean, well-defined tasks that can be provided to contractors once approved

2. Amazon FBA & Operations Support

Monitor Amazon FBA shipments (typically one shipment weekly or every two weeks)

Update expected delivery dates in Seller Central as needed

Flag issues caused by discrepancies, delays, or missing information

Maintain shipment tracking and simple operational checklists

Draft operational messages or responses for review when appropriate

3. Project Management & Task Ownership (Required)

Maintain and keep up to date the project management and task tracking system used for this role

The initial system will be lightweight (Gmail, Google Sheets, Google Docs, or similar tools)

Ensure tasks, statuses, blockers, owners, and next steps are consistently tracked and current

Translate emails, notes, and conversations into clear, actionable tasks

Keep project information organized so progress and blockers are always visible

Provide daily or end-of-day summaries highlighting:

What moved forward

What is currently blocked

What actions or decisions are needed from me

Guidance on how the system is used will be provided, and a Standard Operating Procedure (SOP) can be supplied. You will not be expected to design the system from scratch, but you will be responsible for maintaining it accurately and proactively once it is in place.

4. Organization & Communication

Coordinate across multiple time zones asynchronously

Follow up with contractors to keep work moving between meetings

Help ensure contractor calendars remain productive by preparing tasks and requirements in advance

What You Are Not Expected to Do

Write or modify production code

Make final technical, architectural, or business decisions

Manage finances or sensitive account escalations

Your role is to clarify, organize, unblock, and prepare, not to decide or build.

Required Skills & Traits

Strong written English and clear communication

Highly organized and detail-oriented

Comfortable working asynchronously across time zones

Able to research, synthesize, and summarize information clearly

Comfortable using AI tools (e.g., ChatGPT or similar) to structure information and draft summaries

Proactive communicator who flags issues early rather than waiting

Nice to Have (Not Required)

Familiarity with Amazon Seller Central or e-commerce operations

Experience supporting developers or technical projects

Experience using task tools such as Trello, ClickUp, Notion, or similar

Work Structure & Growth Opportunity

Part-time: ~10–15 hours per week to start

Flexible schedule, primarily asynchronous

Some overlap with U.S. Pacific Time is preferred but not required

This role has the opportunity to expand to more hours and responsibility over time based on performance, reliability, and project needs.
