Payroll Assistant
Orgenesis is seeking a detail-oriented, highly organized, and confidential Payroll Assistant to support payroll administration and employee compensation processes across the organization. This role is responsible for assisting with payroll processing, timekeeping administration, payroll record maintenance, data verification, benefits deductions, and payroll compliance activities. The Payroll Assistant plays a critical role in ensuring employees are paid accurately and on time while supporting Orgenesis’ mission of advancing cell and gene therapy solutions through its global POCare™ platform.
The ideal candidate possesses strong numerical aptitude, exceptional attention to detail, and the ability to maintain confidentiality while handling sensitive employee and payroll information. Essential Responsibilities
Payroll Processing Support
Assist with preparation and processing of weekly, bi-weekly, semi-monthly, and monthly payroll cycles. Review employee timesheets, attendance records, and payroll data for accuracy.
Verify payroll calculations including wages, overtime, bonuses, commissions, and deductions. Assist with payroll adjustments, corrections, and off-cycle payroll processing. Ensure payroll deadlines are consistently met.
Timekeeping Administration
Monitor employee timekeeping and attendance records. Review submitted timesheets for completeness and compliance. Resolve routine timekeeping discrepancies and missing entries.
Coordinate with managers regarding attendance approvals and corrections. Maintain accurate time and labor records. Payroll Data Management
Enter and maintain employee payroll information within payroll systems.
Update employee records related to compensation, tax withholdings, direct deposits, and deductions. Process employment status changes, promotions, transfers, and terminations. Maintain accurate payroll databases and records.
Perform routine payroll audits and data validation. Benefits & Deductions Administration
Assist with payroll-related benefits deductions and adjustments. Verify health insurance, retirement, and other employee benefit deductions.
Coordinate payroll changes related to benefits enrollment and status updates. Support reconciliation of payroll and benefits records. Assist employees with payroll-related questions regarding deductions.
Compliance & Tax Support
Support compliance with federal, state, and local payroll regulations. Assist with payroll tax reporting and documentation preparation. Maintain payroll records in accordance with regulatory requirements.
Support year-end payroll activities including tax forms and reporting. Assist with internal and external payroll audits. Employee Support
Respond to employee inquiries regarding pay, deductions, tax forms, and payroll procedures.
Provide professional and timely customer service to employees. Research and resolve payroll-related issues. Escalate complex payroll matters to appropriate leadership when necessary.
Maintain confidentiality of employee compensation information. Reporting & Documentation
Generate payroll reports and administrative summaries. Maintain payroll records, documentation, and audit trails.
Assist with payroll reconciliations and financial reporting. Prepare payroll-related documentation for management review. Support record retention and document management procedures.
Cross-Functional Collaboration
Work closely with Human Resources, Finance, Accounting, Compliance, and department managers. Coordinate employee data updates and payroll-related changes. Support implementation of payroll system enhancements and process improvements.
Participate in payroll projects and departmental initiatives. Assist with onboarding and offboarding payroll activities. Required Qualifications
Education
High School Diploma or GED required.
Associate Degree in Accounting, Finance, Business Administration, Human Resources, or related field preferred. Experience
1–3 years of experience in payroll administration, payroll support, accounting, bookkeeping, finance, or related roles. Experience processing payroll or supporting payroll operations preferred.
Experience in healthcare, biotechnology, pharmaceutical, or regulated industries is a plus. Technical Skills
Proficiency in Microsoft Office Suite, particularly Excel. Experience with payroll software systems such as ADP, Paychex, Workday, UKG, or similar platforms.
Familiarity with Human Resources Information Systems (HRIS). Strong numerical and data entry skills. Ability to analyze payroll data and identify discrepancies.
Preferred Qualifications
Associate’s or Bachelor’s Degree in Accounting, Finance, Human Resources, or related field. Certified Payroll Professional (CPP) designation is a plus. Experience supporting multi-state payroll processing.
