What You’ll Be Owning

This role owns the financial operations behind the entire real estate transaction lifecycle — from appraisal to settlement.

You will become the financial control point for the business, ensuring that every deal moves smoothly while maintaining financial accuracy and compliance.

Financial Operations Management

  • Managing daily financial administration for property transactions

    Processing invoices and ensuring financial documentation is accurate

    Recording transactions and maintaining organized financial records

    Maintaining clean financial data within Xero and supporting systems







Real Estate Transaction Finance



  • Coordinating the financial elements of the appraisal-to-settlement workflow

    Ensuring financial records align with listing, campaign, and settlement milestones

    Supporting smooth financial coordination across the transaction lifecycle

    Maintaining clear financial documentation tied to each property transaction






Commission Calculations & Payment Verification



  • Calculating real estate agent commissions using transaction data and spreadsheets

    Verifying commission structures and internal agreements

    Maintaining organized commission calculation records

    Supporting reconciliation and verification of commission payments






Financial Reconciliation & Monthly Close



  • Performing monthly bank reconciliations and transaction verification

    Supporting financial close processes and financial reporting accuracy

    Identifying discrepancies early and resolving them proactively






Reporting & Financial Visibility



  • Preparing financial summaries and reports for the business owner

    Tracking commission performance and transaction financial activity

    Maintaining organized financial data that supports decision-making

    Improving visibility into financial operations across the business






Process Documentation & Operational Systems



  • Documenting repeatable financial workflows and SOPs

    Creating structured systems for invoicing, reconciliation, and reporting

    Ensuring financial operations remain consistent as transaction volumes grow






Process Improvement & Automation



  • Identifying opportunities to improve financial workflows

    Reducing manual processes and operational inefficiencies

    Testing tools and systems that improve financial reliability and scalability






AI & Financial Workflow Optimization



  • Evaluating how AI and automation tools can improve financial operations

    Testing automation in reconciliation, reporting, and financial documentation

    Implementing practical tools that reduce manual workload and improve accuracy







Stakeholder Communication



  • Communicating with the business owner, sales agents, and stakeholders

    Resolving financial questions and verifying transaction details

    Providing proactive updates when financial issues could impact settlements

    You won’t be operating in isolation. You’ll receive clear direction, systems, and support from the client and Remote Workmate team — while being trusted to own the financial workflows of the business.


    Requirements

    This Role Is a Great Fit If You

    • Have 5+ years of bookkeeping, accounting, or financial operations experience

      Have experience supporting real estate, property, or commission-based businesses

      Have managed full-cycle bookkeeping responsibilities

      Are comfortable managing invoice processing, reconciliation, and financial reporting

      Are confident using Xero or similar accounting platforms

      Have strong Excel or spreadsheet modeling skills

      Are highly detail-oriented with strong financial discipline

      Communicate clearly and professionally with stakeholders

      Can operate independently in a remote environment

      Have experience supporting international clients (NZ, AU, US, or similar markets)


    Bonus Points If You



    • Have experience with New Zealand or Australian real estate businesses

      Have supported commission-based financial structures

      Have worked in real estate transaction operations

      Enjoy building systems and documenting financial workflows

      Have implemented automation or AI tools in finance workflows

    Stakeholders receive clear financial updates and reports

    After 6–9 months:

    Financial workflows are fully documented

    Reporting provides clear financial visibility to the business owner

    Operational inefficiencies have been identified and improved

    Automation or AI has been introduced to streamline financial operations
