Note: The job is a remote job and is open to candidates in USA. CMG Financial is a company in the hospitality and event industry seeking a Junior Event Coordinator. The role involves planning and coordinating events, managing vendors, and ensuring client satisfaction while adhering to budgets and timelines.

Responsibilities

  • Administrative duties as needed including but not limited to managing approval and tracking of smaller company events across the organization
  • Work with the Event Team and Event Stakeholders to understand goals and objectives, requirements, parameters and budget for each event
  • Plan event with attention to financial and time constraints
  • Create reliable financial reports
  • Remain under budget with all costs
  • Book venues and schedule speakers
  • Research vendors (catering, decorators, musicians etc. ) and choose the best combination of quality and cost
  • Negotiate with vendors to achieve the most favorable term in conjunction with Manager and Legal
  • Manage all event operations (preparing venue, invitations, etc. )
  • Handle final checks on the day of the event ( e.g. tables, technology) to ensure everything meets standards
  • Oversee event happenings and act quickly to resolve problems
  • Evaluate event’s success and submit report
  • Establishing and maintaining relationships with vendors and venues
  • Planning event details and aspects, including seating, dining, and guests
  • Manage events and address potential problems that may arise
  • Planning for potential scenarios that could impact the integrity of the event
  • Communicate directly with Management, Executive Team and Event Stakeholders throughout the event planning process to achieve event goals and objectives
  • Coordinate guest list and vendor specifications
  • Working closely with the Events Team to ensure event success
  • Other projects assigned by Manager

Skills

  • Bachelor's degree in related field or equivalent work experience
  • Ability to support West Coast hours
  • Familiarity with event planning process
  • Proficient in MS Office
  • Excellent vendor management skills
  • Communication and interpersonal skills
  • Strong Organizational skills
  • Able to handle stress and remain calm
  • Strong problem-solving ability
  • Able to work well individually and in a group with little oversight
  • Keeping checklist and milestones up to date
  • Detailed-oriented and reliable with good time management skills
  • Budgeting and Logistics preferred
