Location: Remote; ideally in California, Washington D.C., New York, Colorado, Illinois, or London.

Salary: $95,000-110,000 commensurate with experience.

Essential Responsibilities

The Remote Knowledge Manager is a key member of Macrae’s global knowledge management task force, dedicated to supporting local recruiting teams in driving revenue and delivering exceptional service to clients and candidates. This role provides temporary coverage for work overflows and staff absences while also contributing to global projects and strategic initiatives that align with Macrae’s broader organizational goals.

A critical function of this position is ensuring that recruiters, staff, and management have access to up-to-date market intelligence to enhance decision-making and optimize performance. The ideal candidate is highly adaptable, detail-oriented, and proactive in problem-solving, with a commitment to excellence in supporting Macrae’s teams worldwide.

The primary duties of the Remote Knowledge Manager include, but are not limited to, the following:

Recruiting & Administrative Support

Provide remote assistance to local teams in scheduling client, recruiter, and candidate meetings, interviews, and video conferences.

Provide temporary administrative support to 2-4 recruiters as needed.

Knowledge Management & Market Intelligence

Gather, record, and distribute critical information to team members and company-wide as needed

Organize and host team collaboration meetings to facilitate business development

Research market trends, leveraging Macrae’s database and external sources to drive business leads

Ensure the accuracy and currency of database records, including market intelligence, target lists, meeting notes, and search activity data

Collaboration & Best Practices Implementation

Work with recruiters and local teams to identify and provide necessary reports, support, coaching, and reminders to optimize performance

Collaborate with other Knowledge Managers to facilitate meetings, share best practices, and improve operational workflows

Partner with the Director of Administrative Operations to document, refine, and circulate best practices and workflow improvements across the firm

Training & Documentation

Prepare materials for external use (clients and candidates) and internal use (training documents and process guides)

Conduct periodic best practices training sessions for the firm, as directed by the Director of Administrative Operations

Data Management & Security Compliance

Organize, store, and analyze company data professionally and efficiently

Maintain Macrae’s security and confidentiality standards when handling sensitive information

Preferred Qualifications

Work Experience

Must have 6+ years of professional work experience in a support role at law firms, legal or executive search, professional services industries, and/or with C-levels. 

Education

Bachelor’s degree or equivalent is required. 

Skills and Attributes

Exceptional attention to detail and strong written and oral communication skills. 

Proficiency in Microsoft Office 365 (Outlook, Word, and Excel); ability to quickly learn new databases as needed. 

Ability to prioritize, manage multiple projects, and meet competing deadlines in a fast-paced environment. 

Commitment to white-glove, client-focused service—both internally and externally. 

Strong problem-solving skills, adaptability, and a solution-oriented mindset. 

Intuitive, proactive, highly responsive, and able to anticipate recruiter and team needs. 

Interest in the legal industry or legal recruiting is preferred.
