EMS Management & Consultants, Inc. is seeking a Supervisor of Facility Billing Operations to lead and manage the daily activities of the Facilities Billing Claims Management team. The role involves ensuring efficient operations, compliance, and high-quality performance while supporting staff and managing workflow.

Responsibilities

  • Oversee the claim status follow-up to ensure timely processing and maximize cash flow
  • Support staff in claim preparation and submission by addressing escalations, clarifying procedures, and ensuring adherence to established workflows and payer requirements
  • Work with Billing and Coding teams to identify and correct errors and issues
  • Generate reports on facility billing performance, aging, and reimbursement trends
  • Identify root causes for underpayments and/or delays
  • Coordinate and manage the distribution of work and scheduling for the team based on business needs
  • Support a multi-functional team by hiring staff, addressing concerns, and employee development
  • Communicate process changes, organizational issues, and departmental matters with appropriate staff
  • Monitor staff productivity and quality through internal performance systems; provide appropriate feedback and coaching and implement performance management when needed
  • Analyze and clearly communicate QA findings, emerging trends, training needs, performance patterns, and operational gaps. Recommend and implement targeted improvements to strengthen staffing effectiveness, elevate performance, and enhance overall quality
  • Maintain current working knowledge of relevant rules, regulations, statutes, policies, and procedures
  • Manage the implementation of new processes, procedures, and technologies as needed
  • Collaborate with other departments in departmental and organizational continuous improvement efforts and lead such efforts when related to the receivables area
  • Perform other duties as assigned
  • Identify and communicate ideas for improved efficiency and performance
  • Provide backup support to other supervisors as needed
  • Completion and/or involvement in special projects
  • Participation in relevant meetings and company-sponsored events

Skills

  • Associate's degree in Business Administration, Healthcare, or related field, or high school diploma with comparable work experience
  • 1 or more years of supervisory experience or other relevant leadership experience
  • 1 or more years of experience with medical billing, insurance, or other healthcare financial areas. Experience in non-healthcare, high-volume receivables will also be considered
  • Demonstrated ability to lead and motivate diverse staff in a positive and effective manner
  • Excellent written and verbal communication skills with the ability to communicate with peers at all levels, internally and externally
  • Strong analytical and critical thinking skills with the ability to improve processes, solve problems, and provide innovative solutions with little direction
  • Demonstrated ability to multi-task and work with cross-functional teams
  • Ability to give and receive positive and negative constructive feedback in a consistent and respectful manner; this includes difficult or sensitive topics/conversations, applying corrective action, resolving escalated issues, employee conflicts, etc
  • Proficiency with Microsoft Office programs; strong level of Excel experience, including formulas and pivot tables
  • Strong listening, decision-making, time management, communication, and problem-solving skills
  • Capable of handling multiple and complex tasks simultaneously, while meeting deadlines, working efficiently, and contributing to a cross-functional team environment
  • Strong sense of confidentiality regarding financial information
  • Proficiency in English is necessary for job-related communication, including understanding policies, writing correspondence, and engaging with colleagues or clients
  • Demonstrated knowledge of HIPAA, FERA, FDCPA, Medicare, Medicaid, compliance, insurance, liability and tertiary payment methods
  • Bachelor's degree or higher in Business Administration, Healthcare, or related field
  • 1 year of prior experience in EMS billing
  • Knowledge/experience in electronic claims submissions and remittance procedures
