Supply Chain & Compliance Coordinator

Location: Remote — LATAM
Employment Type: Full-Time
Compensation: $2,500 USD/month + PTO & Bonus Structure

About the Role
We are seeking a highly organized, detail-oriented, and proactive Supply Chain & Compliance Coordinator to support international purchasing operations, import logistics, food safety compliance, supplier coordination, and cross-functional operational workflows. This is a newly created position designed to support a fast-growing U.S.-based company operating within the food ingredients and import/distribution industry. This role acts as a key operational bridge between:Purchasing
International logistics
Customs and freight coordination
Food safety and compliance
Sales support
Accounting and operations
The ideal candidate is analytical, highly detail-oriented, operationally minded, and comfortable working in fast-paced environments involving international vendors, freight partners, compliance documentation, and customer coordination.

This is NOT a purely logistics-tracking role. The ideal candidate must also understand food safety compliance standards, supplier documentation, and quality assurance workflows.

Key Responsibilities

Purchasing & Procurement SupportAssist with purchase order creation, tracking, and documentation
Communicate with domestic and international suppliers regarding:Pricing
Availability
Lead times
Order status

Maintain supplier records, contracts, and product specifications
Support inventory planning and monitor supplier lead times
Help resolve discrepancies related to:Orders
Invoices
Shipments

Support landed cost calculations and monitor commodity market trends

Logistics & Import CoordinationCoordinate inbound shipments with:Freight forwarders
Customs brokers
Warehouses

Track shipments from origin to destination and provide operational updates
Prepare and organize import documentation including:Commercial invoices
Packing lists
Certificates of Analysis (COAs)
Bills of Lading

Assist with customs clearance coordination and documentation requests
Support issue resolution related to:Delays
Damages
Shortages
Shipment discrepancies

Food Safety & Regulatory ComplianceMaintain food safety and regulatory documentation including:Supplier approvals
COAs
Audit documentation
Compliance records

Support compliance with:FDA regulations
FSMA
HACCP
GFSI standards

Coordinate with suppliers and internal teams to ensure compliance requirements are met
Support internal audits, customer audits, and regulatory requests

Customer Service & Sales SupportServe as a point of contact for customers throughout the order process
Address shipment inquiries and service-related concerns professionally
Keep internal teams informed regarding:PO/SO status
Shipment timelines
Operational updates

Support customer communication and relationship management efforts

Claims, Reporting & Administrative SupportHandle operational claims and investigate discrepancies
Maintain organized digital filing systems and operational records
Prepare operational reports, spreadsheets, and summaries
Support communication between:Purchasing
Logistics
Sales
Quality
Accounting
Operations teams

Assist with administrative and operational workflow improvements

Requirements
Experience & BackgroundMinimum 2+ years of experience in:Supply chain
Import/export coordination
Logistics
Purchasing
Food safety compliance
Similar operational environments

Previous experience within:Food ingredients
Food manufacturing
Import/export industries
is strongly preferred

Technical SkillsStrong Microsoft Excel skills, including spreadsheet management and operational tracking
Familiarity with ERP systems and order management platforms
Comfortable working with operational, freight, inventory, and compliance-related data
Previous ERP migration exposure is a plus
Experience with Syspro or similar ERP systems is highly preferred

Communication & Interpersonal SkillsAdvanced/Fluent English (C1 level strongly preferred) is REQUIRED
Excellent written and verbal communication skills
