The Leave Specialist is responsible for providing essential HR support and exceptional customer service to our HR team, employees, and clinics. This role supports a wide range of HR functions, with an emphasis on leave of absence administration. The ideal candidate is a proactive contributor who can work independently, manage competing priorities, and collaborate effectively across the organization while maintaining strong attention to detail and organization.

Job Responsibilities 
The Leave Specialist  is responsible for providing essential HR support and exceptional customer service to our HR team, employees, and clinics. This role supports a wide range of HR functions, with an emphasis on leave of absence administration. The ideal candidate is a proactive contributor who can work independently, manage competing priorities, and collaborate effectively across the organization while maintaining strong attention to detail and organization.

Oversee the day-to-day administration of LOA, FMLA, ADA, PWFA, as well as any other current or future leave programs

Serve as the primary point of contact for the leave Third-Party Administrator (TPA), ensuring timely case management, accurate leave administration, and a seamless employee experience throughout the leave lifecycle.

Support compliance with federal, state, and local leave regulations and stay informed of legislative changes impacting leave and accommodation programs

Support direct billing for employee benefits premiums and provide support for all leave-related payroll items

Ensure accurate and timely processing of related paperwork, documentation, and data entry

Provide comprehensive and accurate support to employees, managers, and internal stakeholders regarding leaves of absence, accommodations, and leave policies

Conduct regular audits of HR data in systems to ensure integrity and alignment across platforms. 

Support compliance efforts by managing mandatory training records, policy acknowledgments, and reporting for internal and external audits

Support leave program transitions to new systems, vendors, and processes, including coordination with internal stakeholders and external partners

Support the HR team with ad-hoc projects from time to time

Required Qualifications 
Bachelor’s degree or equivalent work experience

Minimum of 2 years of experience supporting HR Generalist functions, including Leave Management, HRIS, and Administrative HR support

Proven experience managing leaves of absence (FMLA, ADA, STD, etc.)

Hands-on experience working with HRIS systems (e.g., Workday, ADP, UKG, Paycom)

Google Suite: Sheets/Spreadsheet proficiency: V-Lookup, Formulas, Automation, etc.

Preferred Qualifications
Experience working on a fast-paced, high volume HR team

Experience with HRIS administration, preferred Workday experience

PHR, SPHR and/or SHRM Certifications

Understanding of HR functions and best practices

Excellent customer service and communication skills

Excellent written and verbal communication skills

Experience with a Mac and Gmail suite of applications 

Physical Job Requirements
Regularly required to be independently mobile

Regularly required to interact with a computer and communicate with peers and co-workers

The base pay range for this position is $71,211.00 to $92,575 per year. Pay range may vary depending on work location, applicable knowledge, skills, and experience. This position may be eligible for an annual bonus opportunity and comprehensive benefits package that includes Medical Insurance, Dental Insurance, Vision Insurance, Short- and Long-Term Disability, Life Insurance, Paid Time Off and 401K.
