About the Role

We are seeking a dedicated Real Estate Transaction Management & Compliance Team based in India to take full ownership of our transaction operations department. This is not a virtual assistant opportunity and is not intended for individual applicants.

The selected team will replace an existing 5-person Transaction Management Department and will be responsible for managing the complete real estate transaction lifecycle, compliance oversight, revenue protection, listing administration, lead management, invoicing, collections, reporting, and operational support.

The team must be capable of operating as an independent function with minimal supervision while ensuring accuracy, compliance, and efficiency across all transaction processes.

Key Responsibilities

Transaction Management

Manage the full real estate transaction lifecycle from contract to closing

Coordinate transaction milestones and ensure timely completion of all required activities

Maintain accurate transaction records and documentation

Support agents, clients, and leadership throughout the transaction process

Lead & CRM Management

Manage and maintain CRM records, leads, listings, and transaction data

Monitor lead flow and qualification status

Ensure timely follow-ups and proper pipeline management

Maintain data accuracy and reporting integrity

Listing Management

Manage listing administration and documentation

Ensure listing information is accurate and updated

Coordinate listing-related workflows and status updates

Revenue Leakage Prevention

Ensure all transactions, commissions, and invoices are accurately recorded

Identify and prevent revenue leakage through regular audits and reconciliations

Monitor financial records for completeness and accuracy

Invoicing, Collections & Reconciliation

Manage invoicing and billing processes

Track payments and outstanding balances

Handle collections and payment follow-ups

Perform reconciliations and maintain accurate financial records

Reporting & Operational Support

Prepare operational, financial, and transaction reports

Track key performance indicators (KPIs)

Provide regular updates to leadership and stakeholders

Support process improvements and operational efficiency initiatives

Transaction Audit & Compliance (Critical Requirement)

Conduct transaction audits and compliance reviews

Verify all required documents are collected, complete, and properly maintained

Ensure adherence to company policies, brokerage requirements, and transaction standards

Identify discrepancies, missing documentation, and compliance risks

Maintain audit-ready transaction files and records

Requirements

Team must be based in India

Proven experience in Real Estate Transaction Management

Strong background in Transaction Audit and Compliance

Experience managing the complete transaction lifecycle from contract to close

Proficiency with CRM systems and transaction management platforms

Experience with invoicing, collections, payment tracking, and reconciliation

Strong reporting and data management capabilities

Excellent organizational skills and attention to detail

Strong communication, coordination, and follow-up abilities

Ability to manage multiple transactions simultaneously in a fast-paced environment

Previous experience operating as a transaction management team or department is highly preferred

We are specifically seeking a dedicated India-based team capable of replacing an existing 5-person Real Estate Transaction Management Department and taking ownership of the entire function. Teams must have the infrastructure, experience, and expertise necessary to manage operations independently while maintaining high standards of compliance, accuracy, and service delivery.
