Role Summary

We are building a pool of highly capable Sales Support Virtual Assistants to assist sales teams, business owners, and revenue operators across multiple industries.

This role is focused on supporting the sales process through structured CRM management, lead tracking, follow-ups, and execution of outbound and inbound sales workflows.

You will not be expected to “close deals” independently, but rather to ensure that leads are properly managed, nurtured, followed up with, and moved through the sales pipeline efficiently.

While specific tools, processes, and sales structures may vary depending on the client, your core responsibility will always revolve around supporting revenue operations and sales execution.

Key Responsibilities
CRM Management & Pipeline Organization

Maintain and update CRM systems such as HubSpot, Salesforce, or similar platforms
Ensure all leads, contacts, and opportunities are accurately recorded
Track deal stages and update pipeline status in real time
Keep CRM data clean, structured, and up to date

Lead Management & Follow-Ups

Monitor inbound leads and ensure timely follow-up
Execute follow-up sequences based on provided workflows
Nurture leads through email, messaging, or CRM tools
Ensure no leads fall through the cracks

Sales Coordination & Scheduling

Schedule sales calls, discovery calls, and follow-ups
Coordinate calendars between prospects and sales representatives
Send reminders, confirmations, and post-call follow-ups
Ensure smooth handoff between lead stages

Outreach Support (Non-Strategic Execution)

Assist in executing outbound messaging campaigns (email, CRM, or tools provided)
Follow pre-defined scripts, sequences, or templates
Organize and segment lead lists as instructed
Ensure consistency in outreach execution

Sales Reporting & Tracking

Track key sales activities such as calls, conversions, and pipeline movement
Assist in compiling basic sales performance reports
Update dashboards or tracking sheets as required
Support visibility into pipeline health

Administrative Sales Support

Organize sales documents, proposals, and templates
Assist in preparing materials for sales calls or presentations
Maintain structured records of sales activity and communication
Support general sales operations as needed
Scope Flexibility (Important)
This is a pooled role. While the core responsibilities above remain consistent, specific tools, workflows, and sales processes may vary depending on the client you are assigned to.

You may be placed in roles supporting:

SaaS or software sales teams
Service-based business owners
Agency or consulting sales operations
Real estate or high-ticket sales environments

Candidates who demonstrate strong performance may be considered for more advanced roles in sales operations or revenue support.

Once matched, you will be onboarded into a specific client environment with a clearly defined sales process, tools, and expectations.

Depending on client requirements and role allocation, some placements may operate on reduced or adjusted weekly hours. Final workload and schedule will be confirmed during client matching and onboarding.

Standards
Required Skills & Experience

Experience in sales support, lead management, or CRM-based roles
Strong organizational and data management skills
Familiarity with sales pipelines and follow-up processes
Excellent written communication skills
Ability to follow structured sales workflows accurately
High attention to detail and consistency

Tech Stack Familiarity (Preferred)

CRM Systems (HubSpot, Salesforce, Pipedrive, GoHighLevel, or similar)
Communication Tools (Email, Slack, Zoom)
Scheduling Tools (Calendly or similar)
Google Workspace / Microsoft Office
Basic automation or sequencing tools is a plus
