Our client is a well-established insurance agency operating out of the Boston, MA area, serving a diverse client base that spans multiple lines of coverage. The team is fast-paced, client-focused, and deeply committed to delivering accurate, responsive service.

They are growing their remote operations team and are looking for a detail-oriented professional who understands insurance agency workflows from the inside out and can hit the ground running with minimal ramp-up time.
 
Role Overview
The Insurance Virtual Assistant (VA) will serve as a core operational support resource, managing a broad range of administrative, client-facing, and policy-related tasks that keep the agency running smoothly. This role requires someone who is intimately familiar with insurance agency procedures, comfortable working across documentation, billing, and client communications simultaneously, and capable of maintaining a high standard of accuracy across all output. The Insurance Virtual Assistant (VA) will work directly with the agency team to ensure timely processing, compliance, and an exceptional client experience.

Key Responsibilities
Client Communication & Reception
Handle inbound and outbound phone, email, and SMS communications on behalf of the agency

Assist clients with basic inquiries and route complex matters to the appropriate team members

Maintain a professional and responsive communication standard across all client touchpoints

Administrative & Data Management
Perform accurate data entry and maintain up-to-date records within agency systems

Issue Certificates of Insurance (COIs) as requested

Send applications and documents to clients via DocuSign

Policy & Billing Operations
Handle billing-related tasks, including sending proof of insurance and resolving minor billing discrepancies

Conduct endorsement and policy checking to ensure accuracy and compliance

Support overall workflow to ensure all policy documentation is processed in a timely and compliant manner

 
Qualifications — Experience
Minimum 2–3 years of prior experience working within an insurance agency environment

Hands-on experience with Applied EPIC is highly preferred

Demonstrated experience handling insurance documentation including COIs, endorsements, and policy reviews

Prior experience with DocuSign or similar e-signature platforms

Experience managing billing tasks and client correspondence within an agency setting

Fluency in Russian is a must-have requirement for this role

Strong organizational skills with the ability to manage multiple tasks simultaneously without sacrificing accuracy

Exceptional attention to detail, particularly when reviewing policy documents and processing client data

Proactive, self-starting mindset with the ability to work independently in a fully remote environment

Comfortable handling high volumes of administrative work with consistency and precision

Ability to work reliably during US Eastern Time business hours
