The Payroll Advisor plays a vital role within the payroll operations team, providing frontline support to office managers and overseeing day-to-day payroll processing activities.

Responsibilities

  • Administer union remittances and ratifications, ensuring compliance with collective agreements and coordinating with third-party union dues administrators
  • Accurately process payroll, including off-cycle and quick-entry requests, ensuring all transactions comply with internal policies, collective agreements, and payroll legislation
  • Maintain up-to-date knowledge of tax regulations and government reporting requirements
  • Audit employee setup data, new hires, terminations, and benefit/deduction elections to ensure accuracy and alignment with payroll standards
  • Review and validate daily timesheets and support internal audits and continuous improvement initiatives
  • Liaise with the external payroll provider on payroll-related matters to ensure accuracy and timely processing
  • Collaborate with the Finance team to reconcile payroll accounts and resolve discrepancies
  • Oversee payroll banking activities, including stop payments, rejected payments, and direct deposit issues
  • Maintain strict confidentiality and uphold best practices in data privacy and fraud prevention
  • Work closely with payroll team members to provide coverage during absences, ensuring continuity of payroll services and consistent service delivery
  • Monitor and manage internal support tickets
  • Complete ad hoc jobs and reports as needed

Skills

  • 1–2 years of full-cycle payroll experience in a fast-paced environment
  • Diploma in Business Administration, Accounting, HR, or related field
  • Knowledge of Canadian payroll legislation (Federal and Ontario)
  • Proficiency in Microsoft Excel (including pivot tables and formulas)
  • High attention to detail, accuracy, confidentiality, and ability to manage time effectively
  • Strong communication and interpersonal skills; able to work independently and contribute to a collaborative, inclusive team
  • PCP designation in progress
  • Experience with payroll systems (Ceridian Dayforce, ADP, Kronos, SAP)
  • Exposure to unionized or healthcare environments
