Virtual Manager (AI Voice Outreach & Automation Systems)
We are seeking a highly capable Virtual Manager to oversee and operate an AI-driven outbound appointment-setting system. This role is central to running and optimizing a structured prospecting and outreach engine powered by Synthflow, with CRM operations managed in Pipedrive. You will be responsible for orchestrating the end-to-end workflow—from script development and data structuring to system execution, reporting, and appointment setting support for the client’s pipeline.
What You'll Do
Develop and refine outreach scripts for AI voice campaigns
Orchestrate and operate the Synthflow system for outbound prospecting campaigns
Structure workflows, sequences, and call logic within Synthflow
Coordinate with the client on system development and iteration (including technical collaboration on builds)
Load, organize, and manage prospecting data and account feeds for targeting
Ensure accurate integration and synchronization between Synthflow and Pipedrive
Maintain and manage CRM pipeline hygiene, stages, and reporting accuracy
Generate performance reports (call outcomes, conversion metrics, booked appointments)
Diagram and document workflows for clarity, scaling, and optimization
Support appointment-setting outcomes by ensuring leads are properly handled and followed through
RequirementsProven experience in AI voice outreach or automation systems (Synthflow experience strongly preferred)
Background in sales prospecting, outbound lead generation, or SDR operations
Strong technical aptitude with ability to work across automation tools and CRMs
Experience using Pipedrive or similar CRM platforms
Ability to structure workflows, pipelines, and campaign logic logically and clearly
Comfortable collaborating in a technical build environment (working alongside developers or system builders)
Strong communication skills and willingness to participate in occasional phone calls
Preferred Qualifications
Experience building or managing AI calling agents or voice bots
Familiarity with workflow automation tools (Make, Zapier, or similar)
Experience in appointment-setting operations or high-volume outbound sales systems
Ability to document systems in diagrams or SOP format

Proven experience in AI voice outreach or automation systems (Synthflow experience strongly preferred)
Ability to structure workflows, pipelines, and campaign logic logically and clearly
