Administrative Assistant
Alan Lescht & Associates, P.C., a leading employment law firm, is seeking a dynamic and highly organized Administrative Assistant to join our team. This role supports all aspects of administrative operations including client intake, communications, file management, and office support.
Responsibilities
- Answer and direct phone calls and electronic communications
- Process potential new client inquiries, including but not limited to:
- Schedule consultations with attorneys
- Conduct basic intake questionnaire and relay information to attorneys
- Prepare and process new client matters, including drafting and issuing retainers, creating case files, and entering information into legal software
- Receive and process payments for consultations
- Support office operations as needed, including:
- Receive and process incoming mail and deliveries
- Prepare and send outgoing mail
- Greet and direct guests and clients
- Support physical file storage and maintenance
- Support supply inventory and maintenance
- Support on-boarding and off-boarding of staff members
- Assist in maintaining office technology including technology inventory, set-up, processing
- Assist with maintaining electronic files and form legal documents
- Assist with account management and financial matters including:
- Send retainer requests and invoices as directed
- Process incoming payments
- Arrange for vendor and other payments (by check or electronic fund transfers) as directed
- Process and make bank deposits
- Provide some paralegal support as assigned under direction of senior paralegal, including redacting documents, drafting form templates, handling case closures
- Performs other related duties as assigned

- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- High school diploma or equivalent required
- Prolonged periods sitting at a desk and working on a computer
- Ability to work in-person with teleworking flexibility as permitted
- Prior experience in a law firm or professional services environment highly valued
- Customer service experience highly valued
- Familiarity with online tools such as Box and legal practice management software
