The Moment
Windfall’s scenario workshops bring together economists, AI researchers, policymakers, philanthropists and city leaders to confront the economic implications of transformative AI.
These convenings are small, senior and substance-heavy. They work when the right people are in the room, the format is carefully designed, the materials are sharp, and the experience feels thoughtful and smooth from invitation to follow-up.
As Windfall’s convening footprint grows across multiple cities and continents, we are looking for an Events Producer to help us deliver this work at a consistently high standard.

About Windfall Trust
Windfall Trust is a global policy accelerator preparing society for the economic disruption of transformative AI. Our mission is to ensure that the benefits of advanced AI are broadly shared, rather than captured by a few.
Our Scenarios Program convenes economists, AI researchers, policymakers and civil society leaders to explore plausible economic futures and identify the policy responses each future demands. The workshops are complemented by the Policy Atlas, Windfall’s evolving map of policy options for governments preparing for AI’s economic consequences.

The Role
You will own the production side of Windfall’s events.
A major initial focus will be supporting Windfall’s Scenarios Program, including workshops, partner dinners, salons and related convenings. You will also support events across the wider organisation as Windfall’s convening work grows.
You will work closely with program leads, who own the intellectual agenda and methodology. Your job is to make the events work: production quality, participant experience, logistics, vendors, budgets, materials, run of show and the operational systems that allow Windfall to scale.

Responsibilities
You will:
Produce Windfall events end to end, from planning through on-site delivery and follow-up

Build production plans, timelines, run-of-show documents and checklists

Manage venues, vendors, budgets, contracts, materials and participant logistics

Coordinate with co-conveners, host institutions, external agencies and partner teams

Be on the ground for events, managing setup, registration, room flow, speaker support and troubleshooting

Build the templates, playbooks, vendor lists and processes that allow Windfall to scale its convening work

Design and maintain the operational infrastructure — playbooks, templates, vendor relationships, checklists — that allows Windfall to run a high volume of events at consistent quality

About You
You are highly organised, calm under pressure and attentive to detail. You can manage many moving parts, anticipate problems early and communicate clearly with busy people. You care about the quality of the room and understand that in senior convenings, logistics are part of the substance. You are also a builder: when something is done ad hoc more than once, you turn it into a process.
This role involves international travel and occasional compressed schedules around events. You should find that energising, not draining.

Experience
Strong candidates will bring most of the following:
5+ years producing high-quality events, convenings, workshops, roundtables or executive meetings

Experience managing complex events end to end, including budgets, vendors, timelines and on-site delivery

Strong project management skills, attention to detail and written communication

Comfort working with senior stakeholders, speakers, participants and partners

Experience managing or coordinating external event producers, agencies or vendors on-site

Comfortable operating as a system designer, not just an executor — you build the infrastructure others can follow

Experience building operational systems, templates or processes

Comfort working in a remote, international team

Willingness to travel internationally

Experience producing closed-door policy convenings, philanthropic events, government or diplomatic meetings, Chatham House-style discussions, or AI/technology policy events would be especially valuable.
