Project Assistant
Katten Muchin Rosenman LLP is a full-service law firm with a focus on high-value legal services. The Project Assistant will support attorneys and paralegals in private credit transactions, manage documentation, and assist in billing and administrative tasks.
Responsibilities
- Client billable hour requirement: 1,000 hours annually (84 client billable hours on average per month)
- Organize and maintain documentation to large case management matters
- Preparation or drafting correspondence and other documents, preparing document templates, updating files and records, filing and maintaining orderly records
- Coordinate document retrieval under the supervision of the supervising attorneys
- Maintain up-to-date time reports to ensure accurate client billing
- Creating binders and tabs
- Creating financial reports for attorneys
- Draft monthly fee statements and interim fee applications
- Assist with maintaining attorney calendars
- Provide general administrative and clerical support including mailing, scanning, faxing and copying
- Various practice support projects
Skills
- Bachelor's degree required
- Excellent organizational skills including record keeping, data collection, and system information
- Ability to compile and analyze data and furnish information in report format, written correspondence, e-mail, or verbally
- Excellent interpersonal, verbal, and written communication skills
- Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information, and maintain effective relationships with a diverse group of attorneys, clients, staff, and outside contacts
- Strong analytical skills with a high level of attention to detail and accuracy
- Demonstrates proactive problem solving abilities with excellent troubleshooting, resolution, and follow through skills
- Dependable team player who works collaboratively and cooperatively with others in a team-oriented environment
- Ability to act independently and make routine decisions within scope of the position's responsibilities
- Proficient in computer applications, including internet research, Outlook, Word, and Excel
- Skilled in operating standard office equipment such as computers, laser printers, telephones, photocopiers, calculators, scanners, and fax machines
- Ability to occasionally retrieve and distribute files, written documentation and copies, or office supplies weighing up to 20 pounds
- Work occasionally requires more than 35 hours per week to perform the essential duties of the position
- A Paralegal Certificate from an ABA accredited program is strongly preferred
- A minimum of one year of related experience—ideally in a law firm setting—or an equivalent combination of education and experience is desired
