Recruiting Coordinator
Orgenesis is seeking a highly organized, detail-oriented, and people-focused Recruiting Coordinator to support the Talent Acquisition team in sourcing, scheduling, tracking, and coordinating candidates throughout the hiring process. This role is essential in ensuring a smooth, efficient, and positive candidate experience while supporting the recruitment of top talent across clinical, operational, administrative, and technical roles. The Recruiting Coordinator plays a key role in helping Orgenesis build high-performing teams that support its mission of advancing cell and gene therapy solutions through its global POCare™ platform.
The ideal candidate is proactive, communicative, and highly skilled in managing multiple priorities in a fast-paced environment. Essential Responsibilities
Candidate Coordination & Scheduling
Coordinate and schedule interviews between candidates, hiring managers, and interview panels. Manage interview calendars and ensure smooth scheduling across multiple time zones.
Send interview confirmations, reminders, and follow-up communications. Reschedule interviews as needed and manage calendar conflicts. Ensure candidates receive timely updates throughout the hiring process.
Applicant Tracking & Data Management
Maintain accurate candidate records in the Applicant Tracking System (ATS). Update candidate statuses, interview feedback, and hiring pipeline stages. Ensure all recruitment data is current, accurate, and properly documented.
Track recruitment metrics such as time-to-fill and candidate progress. Support reporting and analytics for Talent Acquisition leadership. Candidate Experience & Communication
Serve as a primary point of contact for candidates during the hiring process.
Provide clear and professional communication regarding interview steps and expectations. Ensure a positive and engaging candidate experience. Respond to candidate inquiries in a timely and professional manner.
Support employer branding and candidate engagement initiatives. Recruitment Support
Assist recruiters with job postings across various platforms and job boards. Support sourcing efforts by identifying potential candidates in databases and networks.
Screen resumes and applications based on basic qualification criteria. Assist in coordinating recruitment events, job fairs, and hiring campaigns. Prepare recruitment materials and interview documentation.
Onboarding Support
Assist with pre-employment onboarding coordination. Coordinate background checks, documentation, and new hire paperwork. Support communication between new hires and HR onboarding teams.
Ensure smooth transition from candidate acceptance to employee onboarding. Maintain onboarding tracking systems and records. Administrative Support
Provide administrative support to the Talent Acquisition and HR teams.
Prepare recruitment reports, summaries, and documentation. Maintain job descriptions, templates, and hiring process documentation. Organize recruitment files and maintain compliance records.
Support HR projects and initiatives as needed. Compliance & Confidentiality
Maintain confidentiality of candidate, employee, and company information. Ensure compliance with employment laws and hiring regulations.
Follow company policies and recruitment procedures. Support audit readiness and documentation requirements. Handle sensitive recruitment data with professionalism and discretion.
Cross-Functional Collaboration
Partner with Human Resources, Hiring Managers, Operations, Compliance, and IT teams. Coordinate recruitment activities across multiple departments. Support communication between candidates and internal stakeholders.
Assist in improving recruitment workflows and processes. Participate in talent acquisition strategy discussions and initiatives. Required Qualifications
Education
High School Diploma or GED required.
Associate’s or Bachelor’s Degree in Human Resources, Business Administration, Communications, Psychology, or related field preferred. Experience
1–3 years of experience in recruiting coordination, HR support, administrative support, or talent acquisition. Experience working with Applicant Tracking Systems (ATS) preferred.
Experience in healthcare, biotechnology, pharmaceutical, or regulated industries is a plus. Technical Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with ATS platforms such as Workday, Greenhouse, Lever, or similar systems.
Strong scheduling and calendar management skills. Excellent data entry and documentation abilities. Familiarity with video conferencing tools (Zoom, Microsoft Teams, Google Meet).
Preferred Qualifications
Bachelor’s Degree in Human Resources or related field. Experience supporting high-volume recruiting environments. Knowledge of recruitment best practices and candidate experience strategies.
Familiarity with healthcare or life sciences hiring processes. HR certification (SHRM-CP, PHR) is a plus. Core Competencies
