Role Summary

We are building a pool of highly capable General Virtual Assistants to support a range of clients across multiple industries, including home services, professional services, property management, engineering, and marketing agencies.

This is a generalist administrative role designed for individuals who are highly organized, reliable, and capable of supporting day-to-day business operations.

While the exact responsibilities may vary depending on the client you are matched with, your work will revolve around administrative support, organization, and execution within a specific function or department.

This is not a passive role — you will be expected to take ownership of tasks, maintain structure, and contribute to the overall efficiency of the business you support.

Job Description
Administrative & Operational Support

Provide day-to-day administrative assistance to support smooth business operations. Manage inboxes, organize files and document, and ensure information is properly structured and accessible.
Assist in maintaining internal systems and processes so tasks and communication remain organized and efficient.

Email & Communication Management

Monitor and manage inboxes, ensuring emails are sorted, flagged, and responded to or escalated appropriately.
Draft and send professional responses based on client guidelines, maintaining clear and organized communication.

Scheduling & Calendar Coordination

Manage calendars, schedule meetings, and coordinate appointments across teams or stakeholders.
Ensure schedules are optimized, conflicts are minimized, and all necessary details are communicated clearly.

Data Entry & Records Management

Maintain accurate and up-to-date records across spreadsheets, CRMs, or internal tools.
Ensure data is clean, organized, and consistently updated to support reporting and operations.

Tools & Systems Organization

Help organize and maintain internal tools, platforms, and documentation.
Ensure systems are used consistently and workflows are followed across the team or department.

Task & Workflow Coordination

Track tasks, deadlines, and deliverables using project management tools such as Asana, ClickUp, Trello, or similar platforms.
Assist in ensuring that priorities are clear and tasks are completed on time.

General Administrative Support

Provide flexible support across a specific function or department depending on client needs.
Assist with research, document preparation, and other operational tasks as required.
Support ad hoc requests as business priorities evolve.
Scope Flexibility (Important)
This is a pooled role. While the core responsibilities above remain consistent, specific tasks, tools, and workflows may vary depending on the client you are assigned to.

You may be placed in roles supporting:

A business owner directly
A specific department (e.g., operations, admin, customer support)
A team with ongoing administrative and coordination needs

Candidates who demonstrate strong performance may also be considered for more specialized roles over time.

Once matched, you will be onboarded into a specific client environment with a clearly defined scope of work, tools, and expectations aligned to their business needs.

Depending on client requirements and role allocation, some placements may operate on reduced or adjusted weekly hours. Final workload and schedule will be confirmed during client matching and onboarding.

Standards
Required Skills & Experience

Proven experience in an administrative or virtual assistant role
Strong organizational and time management skills
Excellent written and verbal communication
High attention to detail and accuracy
Ability to manage multiple tasks and priorities
Comfortable working independently in a remote environment

Tech Stack Familiarity (Preferred)

Google Workspace (Docs, Sheets, Gmail, Calendar)
Microsoft Office (Excel, Word, Outlook)

Basic familiarity with CRM systems is a plus
